Front Desk/Administrative Assistant

Reports to: HR Generalist

Location: Toronto

Summary of Duties:

The Administrative Assistant is responsible for the day to day support duties for the operational team.

Main Responsibilities:

  • Answer main switchboard
  • Greet visitors and maintain visitor log
  • Enter in all new employee personal information while updating their personal files with Agency paperwork
  • Ensure that legal notices such as Child Support orders, Garnishments and Subpoenas are directed to the appropriate departments and assist in gathering information
  • Provide on-site support for Operation Managers with daily tasks such as purchasing incentives, preparing for client visits, printing/scanning needs, etc.
  • Assist Executives with meetings and allocating board rooms to use: food orders, beverages, cleaning, etc.
  • Maintain and track lockers used by employees
  • Maintain and track headsets used by employees
  • Assist HR with employee badge assignment
  • Assist Recruiter with sourcing and pre-screening of candidates
  • Assist HR Generalist with projects
  • Other duties as assigned

Skills and Qualifications:

  • Must have high school diploma with relevant work experience
  • Experience in a call center or sales environment is an asset
  • Strong understanding of internet technology
  • Ability to multitask
  • Detail oriented
  • Strong written and verbal communications skills
  • Must have good computer skills, including (E-mail, Internet, Excel, Windows navigation and file management)
  • Ability to relate well to all kinds of people with various personalities and temperaments
  • Ability to communicate in English (written and oral).
  • Effective and accurate decision making skills
  • Flexibility to work varying shifts or additional hours as dictated by business needs
  • Ability to meet deadlines
  • Strong time management skills
  • Other duties as assigned by the Training Manager
